Event Marketing Intern Job Responsibilities

Duration of Assignment: May – October

The Association for Print Technologies (APTechSM), formerly NPES, is seeking an Event Marketing Intern to provide support to the Meetings & Events department in its efforts to plan and execute PRINTŪ 18, the signature conference and exhibition event for the printing and graphic communications community. This paid internship is an opportunity to gain meaningful experience in a nonprofit association environment. The selected intern will work alongside a seasoned group of professionals and will learn and become involved in conference marketing, exhibitor customer service, and overall show operations. The internship begins in May and continues through October at the APTech headquarters in Reston, Virginia.

MAJOR JOB RESPONSIBILITIES

Attendee and Conference Marketing

The Event Marketing Intern will assist with customer service-related issues regarding registration and event questions in addition to helping with outbound marketing. This person will gain a thorough understanding of the registration process and be able to assist with registering individuals as well as the special handling of large groups. The week after the advance pricing registration deadline (August 31) leading up to the show will be the heaviest activity for registration.

Ongoing duties include:


  • Conduct outbound calls to past attendees to encourage them to register.
  • Answer e-mail inquiries.
  • Maintain weekly attendee marketing lead-tracking metrics report.
  • Data-entry updates in conference database.
  • Update database to reflect returned mail/address changes.
  • Assist exhibitors in registering their customers for complimentary registrations.
  • Work with co-located groups to promote their events alongside PRINT 18 – monitor and document weekly registrations relative to each event's special free pass link/code.
  • Mailing of promotional materials.


    Social Media

    The Event Marketing Intern will participate in the delivery and reposting of social media messages. This person will monitor and report on the metrics and registrations relative to social media tools, from geotargeting to SEO, and Google Adwords. In addition, they will search, connect, follow, and friend target contacts on social media, to include Twitter, facebook, LinkedIn, Instagram and Snapchat:


    • Monitoring messages across PRINT channels
    • Drafting and scheduling social media messaging
    • Posting exhibitor press releases and videos on website
    • Sourcing and coordinating creative assets for social media channels
    • Reviewing social media content submitted by partners
    • Contributing to social media reports


      Exhibitor Customer Service and Marketing

      Backup to the Exhibitor Services team is required to assist with phone calls from exhibitors regarding registration questions and look-ups of existing registrations, in addition to filing contracts and other administrative duties as needed.

      Exhibitor marketing prior to the show is vital to success. Outgoing calls (3-5 per day) to exhibitors to ensure they have the marketing support and media lists they need on an ongoing basis will identify contacts for customized support.

      This position will assist with communications to exhibitors, including the Exhibitor Insider eNewsletter, complete data entry of promotional listing forms, and other duties as required.

      Speaker Administration

      This position will assist with generation of confirmation letters, audio-visual requests, assistance with housing requests, creation and maintenance of spreadsheet containing speaker contact information and all session details listed.

      During and Post-show

      During the show (September 30 – October 2), it is important for this person to be in the office to help with registration, exhibitor services, and other calls related to the show. After the show, the Event Marketing Intern's primary responsibilities will be to assist with evaluation surveys, entry of exhibitor data and invoice mailing, post-event customer service, and additional projects that may come up.
